Overview of Role
To provide Audio Visual, Lighting, Information Technology and events management services at the conference centre, both for Events and Conference requirements as well as general Building infrastructure.
To develop and manage AV Team.
Duties and Responsibilities
To assist in stock control and maintenance of all audio visual and IT equipment and services for the centre.
To assist the Team in the planning and management of all AV and IT aspects of events. Up selling equipment and providing enhanced services to the sales team.
To ensure that the centres AV, IT and Lighting facilities and services are delivered to the highest standards.
To keep skills up to date and be aware of current practice and new developments within venue and events services with primacy to AV and IT and after researching, provide analysis and recommendations when requested.
Liaise with all appropriate and required service providers internal and external - as required - to ensure appropriate actions are taken for each conference or event.
Use initiative and make on the spot decisions regarding the provision of Events AV, ensuring that clients are happy with the service they receive.
Ensure that AV, IT and Lighting set-ups are prepared in good time for immediate use at the beginning of each event and conference and that Clients requirements are delivered to the highest possible standard and that all contractual obligations are met.
Apply significant knowledge of industry trends and developments to improve service to our clients.
To report customer care and service issues, problems and queries and resolve if appropriate within guidelines
To ensure that all the required resources are available and assigned, as appropriate.
To be a proactive member of the Technical team and assist with the implementation of changes in procedures and strategy, when appropriate.
To develop and maintain positive, co-operational relationships with internal departments, external suppliers and clients.
To provide input to projects as required
To liaise with suppliers, placing orders and ensuring that best prices are obtained.
To assist and be pro-active in the researching, collating, devising, production and co-ordination of documentation to include:
-technical supplier communications
-sales team audio visual packs
-user information packs
-training manuals for in house use
-technical manuals and plans for in house use
-information as required for delegate packs
To liaise with Operations and Sales colleagues, and ensure that any additional charges on the event day are notified to the Food and Beverage Manager so that final invoices are prepared in a timely and accurate manner.
To circulate information about events services, impediments to services either systematic or temporary to relevant parties, providing solutions where appropriate.
To be responsible for the security of all equipment owned by, or in the safekeeping of the centres within area of responsibility.
Ensure that correct stock levels of equipment are maintained
Install and operate AV, IT and lighting equipment as appropriate to each event.
Ensure that the equipment stores are effectively and regularly cleaned, clear of extraneous equipment and adequately stocked.
Assist in the continuous development of stock control systems and protocol.
Monitor the use of all equipment and ensure that adequate management and security measures are employed to minimise potential injury or losses.
Note and report defects, repairs and maintenance issues. Ensure that all AV, IT and lighting equipment is kept in good repair and working order.
To ensure that all equipment is included in the annual PAT testing exercise and that relevant statutory legislation is complied with at all times - and to rectify any items not meeting statutory legislation.
IT support when necessary.
Ensuring that all appropriate avenues have been investigated and information provided to the sales team to facilitate client’s bookings and up selling of AV, IT and Lighting.
To meet face to face and communicate via phone and email with potential and existing clients to assist in persuading them to select The Centre as their venue and its Technical department as their AV, IT and lighting provider.
